Our Company is often the first point of contact for many prospective tenants because we recognise the importance of a wide and varied promotion of your property.  The more applications we receive, the quicker we can screen a suitable tenant.

We produce a daily comprehensive list of available properties for tenants to peruse.  Our rental list is available via the following sources:

Newspaper Advertising

Tenants call our office from advertisements placed twice weekly in the Mercury (Wednesday and Saturday).  We use each inquiry as a valuable resource.  We ask appropriate questions and encourage prospective tenants to make an appointment to inspect the property.  We also add prospective tenants to our database.

Internet Inquiries

We maintain a quality web site, so that a potential tenant can easily access information on renting and can download an Application Form and current rental list.

We maintain a database of clients, matching this pool of prospective tenants with vacant properties.  Our Property Managers update the list daily.

Looking After Your Property

Property Inspections

At PMM Real Estate, trained, qualified and experienced Property Managers will look after your property and provide reports to you.

Routine and regular inspections of your property are carried out every three months.  The Residential Tenancy Act stipulates that inspections cannot be undertaken any more frequently than three months.

These routine inspections will protect your investments and any minor repairs and maintenance will be brought to your attention.  It also gives us the opportunity to advise the tenants about any housekeeping issues, in a timely manner.

After each routine inspection, you will receive a written report detailing the overall internal and external condition of the property.  We believe these reports will assist you to keep up to date with the condition and value of your property.

Initial and Final Inspection

We carry out an initial inspection, followed up with a detailed written Property Condition Report.  Comprehensive photos of every room form part of this Condition Report.  A copy of this report and photos are retained by our office and used for final inspection comparison.  The reports and photos are compared prior to the return of the bond.

Written Inspection Reports

Our management service includes, as mentioned, an inspection carried out 12 weeks after new tenants have moved into your premises, then we inspect the property every three months unless instructed otherwise.

 We forward to you a written report advising you of the condition of your property and recommend maintenance work that may be required to keep your investment in a condition that ensures you a maximum return.  We welcome any comments on the report.  The only time we vary from quarterly property inspections is after a tenant has occupied a property for more than one year (four satisfactory inspections) and then, only with an Owner's prior approval, we may vary the inspections to twice per year.

We have a reputation for being both thorough and strict in the final inspection, which is in the best interests of our property owners and incoming tenants.

Repairs and Maintenance

Neglect or minor repairs can often lead to major repairs and expenditure and can result in the loss of a good tenant.  A well presented and maintained property also results in a lower turnover of tenants, thus incurring fewer re-letting expenses.

Either you or your agent can handle any maintenance requirements.

You are able to use your own trades people by arrangement with your Property Manager, if preferred.

We have a reliable team of maintenance workers ready to carry out any repairs that are necessary.  Action is taken according to your instructions and then we monitor all repairs carried out.  Records are kept of all repairs and maintenance for future reference.  All repairs are paid for by rental monies held in trust or paid for by the Owner.  Full details are printed on your statement.  Copies of all invoices are provided for work carried out on the property.

Our comprehensive maintenance programme will ensure that problems are resolved quickly by qualified tradespeople at a reasonable price.  All trades people we use are qualified and hold the required Public Liability Insurance.

Property renovations and major work, over and above the standard maintenance requirements, can be arranged for you, at your request, and we are happy to obtain quotes, co-ordinate such work and to inspect on completion.  However, depending upon the size of project and time involved, we may need to charge a project management fee.  This can be discussed with your Property Manager prior to arranging any works greater than $5,000.

It is generally believed that when an owner occupies his property, at least one maintenance job is done each weekend; a tenant does not do this.  This leads to a faster deterioration of the home and stresses the importance of keeping up with regular repairs and maintenance.

Tenant Selection Process

All tenants are screened for their suitability and are selected with extreme care.  After the prospective tenant has completed an application form, the following checks are conducted: 

· Employment history - check on current and previous employment;

· Ability to pay rent required;

· All financial details such as place of work, wages or any other income are double checked.  We complete a rough budget to ensure that the prospective tenant can afford the property;

· Proven satisfactory renting record;

· Historic rental references are checked - we seek confirmation that this person has rented from the landlord/real estate firm before.  The following questions are asked of the referee for confirmation:-

  • How much rent was paid on a regular basis?
  • Did the tenant fall in arrears continuously?
  • Did they leave the premises in a neat and tidy condition and the bond returned in full?
  • Do they recommend these tenants and would they rent to them again?

·Computer database checks - prior to acceptance of an application we check:

  • Tasmanian Collection Services - To see if there are any outstanding debts or past legal action;
  • Veda (if a mainland client)- To see if there are any outstanding debts or past legal action;
  • National Tenancy Database - Tenant checks are undertaken on this Australia wide system; and
  • In some instances we require the tenant to provide us with a Police Check.
